We aim to process your personal data in a lawful, fair and transparent manner. In this privacy notice, we explain which personal data we process about you as a natural person and for what purposes. We also explain which rights you have in order to safeguard and, where necessary, improve your privacy.
Who are we?
Your data are processed by Mentorprise (MPIP – c.v.b.a.), with registered office at Kardinaal Mercierplein 2, 2800 Mechelen, registered in the Crossroads Bank for Enterprises under number BE 0549.907.054.
Within our organisation, access to data is limited to responsible persons who require such access in view of their duties.

Which personal data do we collect?
Data collected directly from you
Public data and data collected indirectly
Mentorprise may process publicly available data.
This may include data subject to publication obligations, such as the publication of your appointment as a company director, or data that you have made public yourself, such as information on your website.
It may also include data that are publicly available because they are generally known in your region or have appeared in the press. Information from sources such as the Crossroads Bank for Enterprises and Graydon also falls under this category.
Information you provide to us
If you contact us by telephone, our reception desk may record your first and last name and telephone number in order to maintain a contact overview and identify users of our services. Information stated on your business card may also be processed.
Why do we collect your personal data?
Depending on the situation, Mentorprise requires certain information in order to provide specific services. Information that allows us to identify you is referred to as personal data.
Below you will find an overview of the purposes for which Mentorprise collects and processes personal data, depending on the context.
Your data may be used for the following purposes:
Contact persons at clients or prospects (initial contact)
Your data are necessary for the proper execution of the agreement you enter into with us. By entering into a contract with Mentorprise, we must process certain personal data in order to deliver the services covered by that agreement.
This mainly includes the exchange of information in the context of:
presenting candidates in Search & Recruitment assignments
preparing and delivering periodic reports
exchange relating to the provision of employees or self-employed professionals for specific projects (Bridge Management / Project Sourcing)
(HD) Consulting
invitations and information regarding training courses and events
provision of information via newsletters, notifications, etc.
invoicing
The personal data collected are processed for administrative and accounting purposes. If you do not wish your personal data to be processed for these purposes, it will not be possible to perform the services to which you are contractually bound.
Potential new contacts via business cards
If you provide us with your business card in any way, we will include your details in our database. We assume that by handing over your business card you give your explicit consent to be included in our database and to be informed about Mentorprise and its activities.
We also store publicly available information we find about you in our database. We assume we are entitled to retain these personal data since you have made them publicly available yourself.
Suppliers
For suppliers, we collect the personal data necessary for the execution of the agreement, primarily email addresses of contact persons to facilitate communication.
Who receives my personal data?
Your personal data are not shared with other parties except as described below.
Mentorprise processes these personal data solely for the purposes described above. Only employees who require access to your data in the performance of their duties are authorised to consult them.
When organising events, we may share certain personal data (such as first and last name, job title, organisation name) with external event partners, strictly for organisational and security reasons.
We also collaborate with a number of third parties who may have access to your personal data, including:
accountants and consultants (for fiscal support)
ICT service providers
database system administrators (RIS), direct email marketing via MailChimp
Mentorprise employees in the context of RSS, marketing, internal communication, coaching and various projects carried out for you
public authorities where legally required (e.g. VAT administration and FPS Finance)
How long are my personal data retained?
Your personal data are retained only for as long as necessary to achieve the purposes described above.
We retain personal data in accordance with legally required retention periods and applicable limitation periods.
For example:
invoices are retained for 7 years
other data may be retained for up to 10 years
What rights can I exercise to protect my personal data?
Right of access
You may request access to the personal data we process about you.
Mentorprise will provide you with a comprehensive overview of the personal data stored about you. We can already confirm that no special categories of personal data (such as data relating to race, ethnic origin, health or sexual orientation) are processed — only general personal data.
You may also request a copy of your personal data.
Right to rectification
If your personal data change (e.g. name, address, email address), you may request correction or completion at any time by contacting Mentorprise by email or telephone.
Right to erasure
If you believe that certain personal data are processed unlawfully or without a valid purpose, you may request their deletion (except where data must be retained by law).
Right to restriction of processing
If your data are inaccurate or you believe processing is unlawful, you may request a restriction of processing.
This means we may only process your data further with your consent, although storage remains permitted. Exceptions apply, for example, in the context of legal proceedings, protection of rights, or important public interest.
Right to data portability
You may request that the personal data you have provided to us be transferred to you or directly to a third party. Certain legal limitations apply and this right must be assessed on a case-by-case basis.
Requests can be submitted by email.
Right to object to automated processing
Some processing activities may be fully automated. However, Mentorprise does not use fully automated decision-making with regard to personal data processing.
Should this change and should you object, you may submit an objection by email. Certain exceptions may apply and will be assessed individually.
Right to withdraw consent
Where processing is based on your consent, you may withdraw that consent at any time by notifying us by email. In such cases, we will delete your personal data.
If you wish to exercise any of these rights, please contact us by email and clearly indicate which right you wish to exercise.
You also have the right to lodge a complaint at any time with the competent supervisory authority if you believe your rights are not being respected.
